Handling of personal information

Please read this document before providing personal information to Nippon Express Travel. The use of Nippon Express Travelfs products/services represents agreement to the terms stipulated.

  1. Purposes of personal information usage
    Nippon Express Travel will use personal information provided by customers requesting travel brochures or completing travel service request forms for related interaction and other purposes within the scope necessary for arrangement of the requested services. Personal information entrusted to other parties, including Nippon Express Travel client companies, organizations and other travel companies, will also be used as necessary for travel arrangements, communication and other purposes. Nippon Express Travel may additionally use customersf personal information for (1) providing information on products, services and promotions arranged by Nippon Express Travel or affiliated companies, (2) soliciting feedback from customers attending briefing sessions and/or taking tours, (3) requesting participation in questionnaire surveys, (4) offering special services, and (5) compiling data for improvement of travel products and market analysis. Such information will also be used to arrange insurance requested by customers.
  2. Personal information collection
    Nippon Express Travel collects personal information mainly from requests for travel brochures, membership registrations and travel service requests made by phone, fax or e-mail, or in written forms. Information is also collected via questionnaire surveys in briefing sessions and from data entered on the Nippon Express Travel website. Users should provide all necessary physical and health information, regardless of its sensitivity, based on their own sound judgment or that of relevant guardians, if special consideration is necessary during periods of travel. Failure to provide certain optional information may result in the withholding of products and/or services and responses to inquiries or requests. The company may also handle personal information entrusted by other parties, including its client companies, organizations and other travel companies or their representatives, in order to provide products and services in a commercial capacity.
  3. Provision/entrustment of personal information
    The company will provide customer names, addresses and other personal information to transportation, accommodation and other service providers, either in writing or electronically, within the scope necessary for provision of the requested services. Contracted recipients of such information are generally bound to manage the relevant data appropriately; however, since no contracts are entered into with transportation service providers, personal information is managed in accordance with the management criteria of recipients. The company may also provide customersf personal information (including names, passport numbers and flight numbers) to gift shops in advance via electronic or other means for retail convenience at travel destinations. Additionally, credit card numbers, expiry dates and other information will be electronically provided to the relevant credit card company for customers paying by credit card. Other than the above cases and where required by law or regulations, Nippon Express Travel will not disclose/provide customersf personal information to any third party without permission.
    Nippon Express Travel may entrust the handling of personal information to other companies. In such cases, entrustees will be contractually obliged to manage the information with the same standards as Nippon Express Travel. Entrusteesf management systems are monitored in this regard as necessary.
  4. Protection of personal information
    A designated representative in each section of the company oversees the protection and management of customersf personal information, ensuring protection and appropriate handling. Preventive and corrective measures are also taken to prevent any leakage, loss or damage of such data.
    When outsourcing the processing of questionnaire results and other tasks to third parties, Nippon Express Travel concludes confidentiality agreements on personal information and ensures appropriate management by the relevant parties.
  5. Notification, disclosure, correction, addition, deletion, usage, elimination and/or suspension of personal information provision to third parties (hereinafter referred to as gdisclosure, etc.h)
    Customers wishing to request disclosure, etc. of personal information should contact the Office for Personal Information Complaints and Inquiries (details below). Requests will be processed promptly once the customerfs identity has been confirmed. Handling fees may apply as specified in Nippon Express Travelfs rules and regulations.
  6. Personal information of minors
    Nippon Express Travel protects information provided by minors in the same manner as with information on adults. Whenever travel contracts (requests) for minors are handled, the approval of guardians (i.e., individuals with parental authority) will be sought.
  7. Use of cookies
    Nippon Express Travelfs website may use cookies for browser access. These are used only for the provision of superior customer service, and can be disabled in the browser settings. However, certain services may be unavailable if cookies are disabled.

    Nippon Express Travel CO., LTD. and its subsidiaries and affiliates (collectively gNETh) takes your privacy seriously. NET understands transparency and respect are foundational aspects of longstanding relationships and, therefore, takes every reasonable effort to protect the information you provide to us.

    This Global Privacy Notice describes the types of personal information we collect, how we use the information, with whom we share it, and the choices you can make about our use of the information. We also describe the measures we take to protect the security of the information and how you can contact us about our privacy practices.

    Our privacy practices may vary among the countries in which we operate to reflect local practices and legal requirements. If a localized privacy policy exists, said policy will take precedence over this Global Privacy Notice.

    This Global Privacy Notice applies to the personal data that NET collects and uses. References in this Privacy Policy to gweh, gush or gourh mean NET.

    We control the ways your personal data are collected and the purposes for which your personal data are used by NET and are the gdata controllerh for the purposes of national legislation and the European General Data Protection Regulation.

    NET entities responsible for the collection and use of your personal information for the purposes described in this Global Privacy Notice are indicated in the How to Contact Us section of this document.
  3. HOW WE COLLECT AND USE YOUR INFORMATION
    We collect some personal data directly from you, for example when use our website, use our services or contact us or we obtain your personal data from our Business Partners and Affiliates (such as dealers or distributors with whom we have business relationship, or from the entities with whom we have entered into the contract for market survey purpose).

    a. Categories of data we collect about you
    ŸPhysical Location and Contact Information (name, mailing address, email address, phone number, fax number, customer ID, etc.)
    ŸRelationship Information : information regarding your inquiries, purchases, regional location and dealer transactions
    ŸInformation we collect online. We collect personal data by using automated means, such as cookies. The information we collect in this manner may include: IP address, browser type, operating system, referring URLs and information on actions taken or interaction with our digital assets.

    b. How we use collected data
    We will process (collect, store and use) the information you provide in a manner compatible with the EUfs General Data Protection Regulation (GDPR). We will endeavour to keep your information accurate and up to date, and not keep it for longer than is necessary. We pledge to retain information in accordance with the law, such as information needed for income tax and audit purposes.

    NET uses your Personal Data for providing you with goods and services you have requested or for alerting you to other products or service as specified below.
    ŸFulfilment of Your Request. When you use our inquiry, contest or survey functionality on our websites, we may use submitted information in conjunction with other information we have about you to supply you with relevant product and service offerings to better respond to your specific product or service inquiries or respond to complaints.
    ŸCustomer Service and Support. We collect and use information about you to support our customer service and support activities or related transactions. This can include, but is not limited to, warranty services, financing or purchasing, product delivery and maintenance support.

    Under data protection laws, NET must have a legal basis to process your Personal Data. The legal basis that applies in an instance will depend on for which of the specific purposes described above NET is processing your Personal Data:

    NET stores personal information only for as long as it is necessary for the fulfilment of the purpose for which the personal information was collected, unless otherwise required or authorized by applicable law. We take measures to destroy or permanently de-identify personal information if required by law or if the personal information is no longer required for the purpose for which we collected it.
  8. UPDATES TO OUR PRIVACY NOTICE
    This Global Privacy Notice may be updated periodically and without prior notice, to reflect changes in our personal information practices. We will post a prominent notice on relevant websites to notify you of any significant changes to our Global Privacy Notice and indicate the updated date on the top of the page. In addition, we may seek your consent for certain updates based on the effects it may have on you and your personal information.
